How Match Registration Works in Velox
What shooters see and what happens when someone registers
Overview
This page explains how registration works in Velox, both from the shooter’s perspective and from the club’s side.
The system is designed to keep registration simple for shooters while reducing manual coordination for clubs.
How shooters find a session
Shooters can discover sessions in several ways:
- Through the dashboard feed, which shows sessions based on access and visibility
- By browsing a club’s public page
- Via a direct registration link shared by the club or match staff
Access to sessions depends on visibility settings and club membership.

Registering for a session
When a shooter chooses to register, they are guided through a short and familiar process.
This typically includes selecting:
- A squad
- A division or category
In addition, Velox supports more flexible registration flows when needed.
Clubs can collect additional information for compliance, internal processes, or shooter preferences.

Shooters can create a shooter profile to speed up future registrations. Profile information is reused automatically, so the same details do not need to be entered every time.
Squad capacity and availability
Squad availability is updated in real time, both on the session card and during registration.
This ensures that all users see accurate, up-to-date information at all times.
- If a squad has available spots, the shooter is added immediately
- If a squad is full, the shooter is placed on the waitlist
Joining the waitlist is currently the default behavior and cannot be disabled.
Shooters can also expand the squad view to see who is already registered.
This helps reduce uncertainty when choosing a squad.
What happens when a squad is full
When a squad reaches capacity, new registrations are added to a waitlist.
When a shooter joins a waitlist:
- They are not yet registered
- They do not occupy a squad spot
- Their position in the waitlist is recorded
- They appear in the waitlist section within the squad view
Shooters are promoted automatically on a first come, first served basis.
If a registered shooter cancels or is removed, the next shooter in line is promoted.
Confirmation and notifications
After registering, shooters receive clear confirmation that their registration was successful.
Automatic notifications are not yet available in the notification center. This is currently being developed.
Registration status is always visible when viewing the session.
What club staff see
Club admins have full visibility and control over session registrations and squads.
They can:
- Adjust squad sizes
- View squad composition
- Move shooters between squads
- Manage registrations as needed
Some changes are intentionally restricted. For example, admins cannot move a shooter from "registered" to "waitlisted" by changing squads. This ensures consistency in how registrations are handled.
When switching two shooters between squads, use the dedicated "switch" action. This prevents unintended promotions from the waitlist.
