How Registration Works

What shooters see and what happens when someone registers

Overview

This page explains how registration works from the shooter’s perspective, and what club staff can expect to happen behind the scenes.

The goal of the registration flow is to be simple, predictable, and transparent for everyone involved.


How shooters find a session

Shooters can discover sessions in several ways:

  • By browsing a club’s page
  • By following a club they are a member of
  • Via a direct link shared by the club or match staff

Each session page clearly shows:

  • Date and time
  • Location
  • Available squads
  • Capacity and remaining spots
  • Any files or notes published by the club

Shooters do not need to contact staff to ask basic questions before registering.


Registering for a session

When a shooter chooses to register, they are guided through a short process:

  1. Select a division and category
  2. Select a squad
  3. Accept any required regulations or acknowledgements
  4. Confirm the registration

Shooters can create a shooter profile to speed up future registrations. Profile information is reused automatically, so the same details do not need to be entered every time.


Squad capacity and availability

Squad availability is updated in real time.

  • If a squad has available spots, the shooter is added immediately
  • If a squad is already full, the shooter is placed on the waitlist

At the moment, joining the waitlist is the default behavior, and there is no option to disable it.

Shooters can also open the squad dropdown to see who is already registered in each squad. This helps set expectations and reduces uncertainty when choosing where to register.


What happens when a squad is full

When a squad reaches its capacity, new registrations are added to a waitlist.

When a shooter joins a waitlist:

  • They are not counted as registered yet
  • They do not take up a squad spot
  • Their position in the waitlist is recorded

Shooters are promoted from the waitlist on a first come, first served basis.

If a registered shooter cancels or is removed, the next shooter in the waitlist is promoted automatically.


Confirmation and notifications

After registering, shooters receive clear confirmation that their registration was successful.

At this stage:

  • Shooters are not yet notified automatically when they are promoted from a waitlist
  • This notification feature is currently in testing and may change in the future

Depending on club settings, shooters may still receive notifications when:

  • Their registration requires approval and is approved
  • Session details are updated

Even without notifications, registration status is always visible when viewing the session.


What club staff see

For club admins and staff, registration information is available in real time.

Staff can:

  • See who is registered and in which squad
  • Move shooters between squads if needed
  • Remove shooters if required
  • Monitor squad capacity and waitlists

All changes are reflected immediately for shooters.

  • Prevent overbooking and confusion
  • Keep everyone informed without extra messages
