How to Create a Club in Velox

How new clubs get set up in Velox and what to expect during onboarding

Overview

At the moment, creating a club in Velox is done through a short onboarding process with our team.

This allows us to:

  • Set up your club correctly from the start
  • Understand how your club operates
  • Ensure Velox fits your workflow without disruption

The goal is to make onboarding smooth, accurate, and tailored to your needs.


How to get started

To create a club, simply reach out through the contact page here

Once you submit a request, we will follow up to begin the onboarding process.


What happens next

After you reach out, the process typically looks like this:

1. Initial conversation

We’ll ask a few simple questions to understand:

  • The type of sessions you run (training, matches, disciplines)
  • How you currently handle registrations and squadding
  • Any specific requirements (compliance, memberships, etc.)
  • Where your club is based (used to determine feature availability and configuration)

This helps us configure your club correctly from the start.


2. Club setup

We create your club in Velox and configure:

  • Basic club details
  • Initial roles and access
  • Session structure (if needed)

If relevant, we may also help prepare your first session.


3. Review and adjustments

You’ll get access to your club and can review everything.

At this stage, we can:

  • Adjust settings
  • Clarify workflows
  • Answer any questions

4. Go live

Once everything looks good, your club is ready to start using Velox.

You can begin:

  • Creating sessions
  • Opening registrations
  • Managing squads and shooters

Why onboarding is manual (for now)

Velox supports a wide range of club structures and workflows.

Instead of forcing a one-size-fits-all setup, onboarding is currently done manually to ensure:

  • The system matches how your club already operates
  • Important details are not missed
  • You start with a clean, working setup

This approach helps avoid confusion and reduces setup time in the long run.


What you need to prepare

Before reaching out, it can help to have:

  • A general idea of the types of sessions you run
  • How you currently manage registrations and squads
  • Any special requirements (e.g. compliance, memberships, reporting)

This is not required, but it helps speed up the process.


Will this change in the future?

Yes.

Self-service club creation is planned, but the goal is to introduce it without losing flexibility or clarity.

Until then, manual onboarding ensures every club starts in a stable and well-configured state.
